No-Show & Late-Cancellation Cost Calculator.
An empty slot never feels like a bill, but it is one. Enter your no-shows and late cancellations per week, your average session value, and how many sessions you book a week. This tool turns those missed slots into the revenue they cost you every week, month, and year - and shows the share of your capacity leaking away, so you can see whether reminders and a deposit policy are worth setting up.
Swaps the symbol only - no exchange-rate conversion.
Booked sessions where the client never turns up.
Cancels too late to refill the slot. Count only the ones you cannot rebook.
Revenue for one slot. On a retainer, use the monthly fee divided by sessions per month.
Your total weekly capacity - used for the percentage lost.
Revenue lost per year
€6,240
3 lost sessions a week at €40 = €120 a week, about 10% of a 30-session calendar.
Revenue lost / week
lost sessions x session value
€120
Revenue lost / month
weekly loss x 4.33 weeks
€520
Capacity lost
lost sessions / booked sessions

Cut your no-shows and late cancels in half and you win back about €260 a month - €3,120 a year, from the same calendar.
the short answer
A no-show or late cancellation costs you one session of revenue every time a booked slot goes empty and cannot be refilled. Add your no-shows and late cancels for the week, multiply by your average session value for the weekly loss, then scale it: times 52 divided by 12 for the month and times 52 for the year. Divide lost sessions by your booked sessions to see the share of capacity leaking away. For example, 2 no-shows and 1 late cancel a week at 40 a session is 120 a week, about 520 a month and 6,240 a year - 10 percent of a 30-session calendar. Halving that with reminders and a deposit policy wins roughly half of it back, from the same calendar.
What an empty slot actually costs.
A no-show feels like a free hour back - the client vanished, so nothing was spent. But the slot was not free. You blocked the time, you prepared, and you turned away anyone else who might have taken it. Once it is too late to refill, that session is revenue you will never see. This calculator puts a number on the leak, which is the money side of learning how to reduce no-shows and late cancellations in coaching.
It runs a short chain from four inputs - no-shows per week, late cancellations per week, average session value, and booked sessions per week:
Revenue lost / week = lost sessions x average session value
Revenue lost / month = weekly loss x (52 / 12)
Revenue lost / year = weekly loss x 52
Capacity lost = lost sessions / booked sessions
Two assumptions are worth stating plainly. First, a month is treated as 52 divided by 12, about 4.33 weeks, and a year as 52 weeks, so the three figures always agree. Second, a late cancellation only counts as lost when you cannot rebook the slot - if a client cancels with enough notice for you to fill the time, leave it out. Average session value is the revenue for one booked slot; on a retainer, use the monthly fee divided by the number of sessions per month, the same per-slot figure you would price with the coaching rate calculator.
Worked example: 2 no-shows and 1 late cancel a week, 40 a session, on a 30-session calendar. That is 3 lost sessions a week, so 120 a week, about 520 a month, and 6,240 a year - 10 percent of your capacity gone every week. Cut the lost sessions in half and you win back roughly 260 a month, 3,120 a year, without adding a single client. That is why a reminder and a clear cancellation policy tend to pay for themselves faster than any new marketing.
Why plugging the leak beats booking more.
Filling more slots and losing fewer of them both lift your income, but they cost very different amounts. Adding sessions means more outreach, more content, more time on your calendar. Cutting no-shows costs almost nothing: a confirmation, a reminder, and a policy that a late cancel is charged. On the numbers above, halving your no-shows is worth about 260 a month from bookings you already have - revenue you are effectively earning twice, once to win the session and again by keeping it from slipping away. The capacity figure matters just as much as the money: 10 percent of your week spent on empty slots is 10 percent you could give to real clients, which is exactly what the client capacity calculator helps you plan.
The most reliable fixes are upstream and mostly automatic. Confirm the booking the moment it lands and send a reminder before the session so it never slips a client's mind - a job for automated reminders. Then make the policy real with a card on file, so a genuine no-show or late cancel can be charged the way you agreed, which is where deposits and charge policies earn their keep. There is more on the scheduling side in the guide to coaching scheduling software, and the wider picture in the true cost of running an online coaching business.
Fewer empty slots, without chasing anyone.
Coachway is the operating system for online fitness and nutrition coaches. Automated reminders keep every session top of mind, and deposits and charge policies let you hold a card on file so a late cancel or no-show can be charged the way you agreed - so the slots this calculator counts as lost stop leaking, and stay on your calendar instead.
Frequently asked.
How much do no-shows and late cancellations cost a coach?
Each no-show or late cancellation that leaves a slot empty costs you one session of revenue. Add your no-shows and late cancels for the week, multiply by your average session value, and scale it out. Two no-shows and one late cancel a week at 40 per session is 120 a week, about 520 a month and 6,240 a year. On a 30-session calendar that is 10 percent of your capacity leaking away every week.
How do I calculate the cost of a no-show session?
Add your no-shows and late cancellations to get lost sessions, then multiply by your average session value for the weekly loss. Multiply that by 52 divided by 12 for the month and by 52 for the year. So 3 lost sessions a week at 40 each is 120 a week, roughly 520 a month, and 6,240 a year. This calculator runs all three at once and shows the share of your booked capacity you are losing.
Should I count late cancellations the same as a no-show?
Count a late cancellation as lost only when the slot cannot be refilled, which is usually the case for last-minute cancels. If a client cancels with enough notice for you to book someone else, that slot is not lost and should not go in. The test is simple: did the empty slot cost you revenue you could not recover? If yes, it belongs in the same bucket as a no-show.
What percentage of my capacity am I losing to no-shows?
Divide your lost sessions by your booked sessions for the week. Three lost sessions out of 30 booked is 10 percent of your capacity gone, week after week. That is time you blocked out, prepared for, and cannot resell. Capacity lost is often the more honest number than raw revenue, because it shows how much of your working week is being spent on slots that produce nothing.
How do I reduce no-shows and late cancellations?
The reliable levers are reminders, a clear late-cancellation policy, and a deposit or card on file. Send an automated confirmation and a reminder before each session so the booking stays top of mind, and set a policy that a late cancel or no-show is charged. Halving the lost sessions in the example above hands back about 260 a month from the same calendar. The full playbook is in the guide on reducing no-shows and late cancellations.
This calculator is a planning aid, not financial advice. It works from your own inputs and does not account for slots you manage to refill, reschedules that later happen, taxes, platform fees, or seasonality - treat the numbers as a starting point for your own scheduling and policy decisions.
